Position Overview: We are seeking a reliable and detail-oriented Administrative Assistant to join our team in Hewitt, Texas. The ideal candidate will be organized, efficient, and able to handle a variety of tasks in a fast-paced environment. This role is critical in ensuring smooth day-to-day operations and providing exceptional service to our clients.


Key Responsibilities:

  • Phone Management: Answer and direct incoming phone calls with professionalism and courtesy.

  • Service Calls: Log service calls and ensure timely follow-up and resolution.

  • Customer Service: Provide excellent customer service, addressing inquiries and resolving issues promptly.

  • Order Packing: Prepare and pack small consumable orders for clients, ensuring accuracy and timeliness.

  • Shipping: Create shipping labels and manage the shipping process for client orders.

  • Filing: Maintain organized filing systems for easy access to company documents.

  • Spreadsheet Creation: Develop and manage spreadsheets for various administrative tasks.

  • Vendor Communication: Coordinate with vendors to ensure the timely supply of products and services.

  • Customer Check-Ins: Proactively call customers to check in and address any needs or concerns.

  • Supply Runs: Perform occasional supply runs as needed.

  • Executive Support: Assist the President with tasks and projects when they are present.

  • Collection Calls: Contact customers who are passed due on invoices to collect payment.


Qualifications:

  • Strong organizational and multitasking skills.

  • Excellent communication and interpersonal abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Previous experience in an administrative role is required.

  • Ability to handle tasks with attention to detail and accuracy.

  • Valid driver’s license for occasional supply runs.
